Travel Services Terms & Conditions

Part I. Master Client Travel Service Agreement

These Travel Services Terms and Conditions (the “Agreement”) govern travel-planning and booking services provided by Travel Mgmt. & Consulting Boutique LLC, doing business as Travel Boutique VIP (“Travel Boutique VIP,” “we,” “us,” or “our”), an independent travel advisor affiliated with host agency InteleTravel.com (“InteleTravel”). “Traveler,” “you,” and “your” include the person making the booking and every traveler included in the reservation, unless the context requires otherwise.

By requesting or authorizing a reservation, providing payment authorization, paying a deposit or balance, electronically accepting these terms, or using a booked travel service after receiving this Agreement, you acknowledge that you have read, understood, and agreed to it. The lead traveler agrees to provide these terms to every traveler in the booking and represents that the lead traveler is authorized to communicate and act for them regarding the reservation.

1. Our Role and Independent Suppliers

Travel Boutique VIP provides travel-planning and booking assistance. We do not own, manage, control, or operate airlines, cruise lines, hotels, resorts, tour operators, transportation providers, excursion operators, rental-car companies, insurers, or other travel providers (collectively, “Suppliers”). InteleTravel or the applicable Supplier processes all travel payments. Travel Boutique VIP does not accept or hold client travel funds.

The travel services themselves are furnished by independent Suppliers under their own contracts, tariffs, terms, conditions, and policies. Supplier terms are incorporated into your booking by reference and may include separate limitations of liability, cancellation penalties, venue provisions, deadlines, health requirements, and rules. If this Agreement conflicts with a Supplier’s rules concerning that Supplier’s service, the Supplier’s rules control for that service.

2. Quotes, Availability, and Booking Accuracy

Quotes are estimates based on the information and availability shown when prepared. Prices, taxes, exchange rates, fuel surcharges, fees, schedules, promotions, and availability may change without notice until the Supplier confirms the reservation and receives the required payment. No space or price is guaranteed merely because a quote or itinerary has been provided.

You must review every quote, invoice, confirmation, ticket, and itinerary promptly. You are responsible for confirming that names exactly match government-issued travel documents and that dates, destinations, airports, cabin or room categories, occupancy, bedding requests, accessibility needs, and other details are correct. Report an error immediately. Corrections may be subject to Supplier approval, fare differences, penalties, or may be unavailable.

3. Prices, Payments, and Authorization

All payments are processed through InteleTravel or the applicable Supplier. Payment schedules, acceptable forms of payment, deposit requirements, and final-payment deadlines are established by the Supplier and appear on the applicable quote, invoice, or confirmation. Unless stated otherwise by the Supplier, deposits and other payments may be nonrefundable.

You authorize InteleTravel and/or the applicable Supplier to charge the payment method you provide for the amounts and on the dates you approve. You agree not to initiate a chargeback for a properly authorized charge or solely because a Supplier applies a disclosed cancellation or refund policy. This provision does not limit rights that cannot legally be waived. Questions about a charge should first be reported promptly so the parties can attempt to resolve the matter.

Failure to pay on time may cause cancellation, loss of space or promotional pricing, or additional Supplier charges. Courtesy reminders are not guaranteed. You remain responsible for every deadline shown in your documents.

4. Changes, Cancellations, and Refunds

All changes, cancellations, credits, and refunds are governed by the applicable Supplier’s terms. Travel Boutique VIP does not charge a separate planning, booking, change, or cancellation fee at this time. Supplier penalties, nonrefundable amounts, fare increases, and change fees may still apply.

Cancellation requests must be submitted in writing to info@travelboutiquevip.com. A request is not effective until acknowledged and processed with the Supplier. Processing is subject to Supplier business hours and systems. If departure is imminent, you should also contact the Supplier directly using the emergency or service number in your documents.

Refund timing is controlled by the Supplier and payment processor. Travel Boutique VIP cannot issue or accelerate a Supplier refund, guarantee a travel credit, or extend its expiration date. Any future change in our own fees will apply only after clear written disclosure and acceptance.

5. Travel Documents and Entry Requirements

Each traveler is solely responsible for obtaining and carrying the correct passport, visa, transit authorization, parental consent, proof of citizenship, vaccination or health documentation, and other documents required for every destination and transit point. Names on reservations must match the documents used for travel.

Entry, exit, passport-validity, visa, health, and security requirements can change. Travelers should verify current requirements directly with the relevant government authorities and, for U.S. citizens, the U.S. Department of State and applicable embassies or consulates. Non-U.S. citizens must consult the appropriate authorities for their nationality and status. Denied boarding or entry, detention, fines, or additional expenses caused by missing or inadequate documentation are the traveler’s responsibility.

6. Health, Accessibility, and Fitness to Travel

You are responsible for determining whether travel is appropriate for your health, mobility, pregnancy, dietary needs, allergies, and other circumstances and for obtaining professional medical advice when appropriate. Tell us before booking about any accommodation request that may affect supplier selection. We will communicate requests, but Suppliers control fulfillment and special requests are not guaranteed unless confirmed in writing by the Supplier.

You are responsible for medications, medical equipment, accessible transportation, and required assistance. Travel Boutique VIP does not provide medical advice and cannot determine whether any traveler is fit to travel.

7. Travel Protection

Travel protection is strongly recommended because many travel payments may be nonrefundable and unexpected events may create substantial costs. Allianz Travel Insurance may be offered as an optional product. Purchase is not required to buy any other travel service.

Coverage, exclusions, limits, pre-existing-condition provisions, purchase deadlines, claim requirements, and benefits depend on the specific plan and state of residence. Only the policy or plan documents determine coverage. Travel Boutique VIP may provide general plan information but does not guarantee coverage, decide claims, interpret technical policy terms, evaluate the adequacy of your existing insurance, or act as your claims adjuster. Direct coverage and claim questions to Allianz or the licensed producer identified in the plan documents.

If you decline coverage or purchase less than the full trip cost, you accept responsibility for losses and expenses that are not reimbursed by Suppliers or another source. Your acceptance or decline should be documented using Part III of this package or another approved acknowledgment.

8. Air Travel

Air schedules, aircraft, seats, routes, and baggage rules may change. Airlines control check-in, boarding, rebooking, refunds, and operational decisions. Verify flight status directly with the airline, reconfirm seating and special services, comply with check-in deadlines, and allow adequate connection time.

Unless a Supplier specifically confirms otherwise, seat assignments, adjacent seating, upgrades, frequent-flyer benefits, and special meals are requests and are not guaranteed. Separate tickets may carry additional risk because one airline may not protect a missed connection involving another ticket.

9. Cruises, Tours, and Excursions

Cruise lines and tour operators may change ports, routes, schedules, ships, hotels, activities, or transportation for operational, weather, safety, governmental, or other reasons. The Supplier determines whether an itinerary change qualifies for compensation or refund.

Travelers must return to the ship, vehicle, or meeting point by the stated time. Costs caused by a missed departure are the traveler’s responsibility. Independent excursions or services not booked through the cruise line or package Supplier may not be coordinated with the main itinerary and may carry separate terms and risks.

10. International Travel Risks and Conduct

Travel involves inherent risks, including illness, injury, crime, civil unrest, terrorism, weather, natural disaster, transportation interruption, infectious disease, and changes in law or government restrictions. You accept the ordinary and disclosed risks of your chosen itinerary and are responsible for reviewing official travel advisories and deciding whether to proceed.

Travelers must follow Supplier rules and local laws and behave in a manner that does not endanger, harass, disrupt, or materially interfere with others. A Supplier may refuse or terminate service for unsafe or improper conduct. Resulting costs and losses are the traveler’s responsibility to the extent permitted by law.

11. Group Travel Policies

The following provisions apply to group reservations in addition to all other terms:

1. Deposits and deadlines. A place is not secured until the required deposit and traveler information are received and the Supplier confirms the reservation. Each traveler is responsible for payment deadlines. Missed deadlines may result in cancellation, loss of the deposit, loss of promotional pricing, or repricing under Supplier rules.

2. Minimum participation. Group pricing, amenities, credits, or complimentary benefits may depend on a minimum number of paying travelers or rooms. If participation falls below the Supplier’s requirement, the Supplier may reprice the trip, reduce group benefits, convert reservations to individual bookings, or cancel group space. Affected travelers will be informed of available options under Supplier terms.

3. Roommates and occupancy changes. Roommates are responsible for coordinating their individual payments. If a roommate cancels, fails to pay, or becomes ineligible to travel, the remaining traveler may be responsible for a single supplement, occupancy-based repricing, or finding an eligible replacement, subject to Supplier approval and deadlines. Travel Boutique VIP is not responsible for matching roommates and does not guarantee compatibility or replacement.

4. Name changes and substitutions. Name corrections, substitutions, and transfers are permitted only when the Supplier allows them and may require documentation, fare differences, or fees. A substitution is not confirmed until the Supplier issues written confirmation.

5. Individual cancellations. One traveler’s cancellation does not automatically cancel another traveler’s reservation. The cancellation may affect room occupancy, package pricing, group benefits, or other travelers’ costs. Each affected traveler remains responsible for amounts imposed under Supplier rules.

6. Changes from the group itinerary. A traveler requesting different flights, dates, accommodations, transfers, or activities is responsible for all resulting price differences and logistics. Group transportation, amenities, or pricing may not apply to a deviation.

7. Group leader. A group leader may assist with communication but cannot alter Supplier terms, guarantee services, receive another traveler’s private payment information, or bind Travel Boutique VIP unless expressly authorized in writing.

8. Traveler information and communication. Each traveler must provide complete and accurate contact, identity, and emergency information by the stated deadline. Travelers are responsible for reading group communications. Important notices sent to the email address or telephone number provided will be treated as delivered.

9. Unused services and early departure. No refund is guaranteed for late arrival, early departure, missed activities, unused meals, unused transportation, or voluntary withdrawal from the group. Any credit or refund is solely as permitted by the Supplier or applicable law.

10. Group conduct. Travelers must respect schedules, other participants, Supplier staff, property, and local law. A Supplier may remove a traveler whose conduct is unsafe, abusive, unlawful, or materially disruptive. The traveler bears resulting expenses, subject to applicable law.

12. Force Majeure and Events Beyond Control

Travel Boutique VIP is not responsible for delay, cancellation, change, loss, or additional expense caused by events beyond its reasonable control, including severe weather, natural disaster, epidemic or pandemic, war, terrorism, civil unrest, labor disruption, government action, border closure, cyberattack, utility or systems failure, or Supplier insolvency or operational decision. Supplier remedies and applicable law determine any refund, credit, or substitute service.

We will provide reasonable assistance with available rebooking or Supplier communications, but cannot guarantee any particular outcome or absorb Supplier charges or traveler expenses.

13. Errors, Availability, and Advisor Communications

Information is provided in good faith from Suppliers and other sources, but errors or omissions may occur. We may correct a clerical or transmission error when discovered, subject to Supplier rules. Advice and recommendations are based on information available at the time and are not warranties of personal satisfaction, weather, destination conditions, or Supplier performance.

Email and electronic communications may be delayed, filtered, or misdirected. Travelers should promptly confirm receipt of time-sensitive requests. Emergency assistance during travel should be sought first from the operating Supplier, local emergency services, and the insurer when applicable.

14. Limitation of Responsibility

To the fullest extent permitted by applicable law, Travel Boutique VIP is responsible only for its own travel-advisory services and is not liable for the acts, omissions, negligence, insolvency, schedule changes, or failures of independent Suppliers or for events beyond its reasonable control. Nothing in this Agreement excludes liability that cannot legally be excluded.

To the fullest extent permitted by law, Travel Boutique VIP will not be liable for indirect, incidental, special, exemplary, or consequential damages arising from travel services. Any enforceable limitation applicable to a Supplier remains governed by that Supplier’s contract.

15. Claims and Problem Resolution

Report a problem as soon as reasonably possible to the Supplier while travel is underway and notify Travel Boutique VIP so reasonable assistance can be attempted. Keep receipts, photographs, correspondence, and other supporting records. Failure to give a Supplier timely notice may affect available remedies.

Before filing a lawsuit concerning our services, the parties agree to make a good-faith effort to resolve the dispute through written notice and informal discussion for at least 30 days, unless immediate action is necessary to preserve a legal right. This does not alter a Supplier’s separate claim deadline or any nonwaivable consumer right.

16. Privacy and Personal Information

Travel arrangements require personal information such as names, birth dates, passport details, contact information, loyalty numbers, accessibility requests, and payment information. You authorize necessary information to be shared with InteleTravel, Suppliers, insurers, and service providers for quoting, booking, payment, customer support, safety, and legal compliance.

Do not send full payment-card numbers or sensitive identity documents through unapproved channels. Follow the secure process provided for the reservation. Website data practices should also be described in a separate privacy policy.

17. Governing Law, Severability, and Entire Agreement

To the extent permitted by law, this Agreement is governed by the laws of the State of Maryland, without regard to conflict-of-law principles. Supplier agreements may contain different governing-law or venue provisions that apply to claims involving that Supplier.

If any provision is held invalid or unenforceable, the remaining provisions will continue to the extent legally permitted. This Agreement, the accepted quote or invoice, Supplier terms, and written booking confirmations form the agreement concerning our services. A waiver or amendment by Travel Boutique VIP must be in writing. Electronic signatures, check-box acceptance, and electronic records may be used to document agreement.

A. Website Terms Notice

Travel Mgmt. & Consulting Boutique LLC, doing business as Travel Boutique VIP, provides travel-planning and booking assistance as an independent travel advisor affiliated with InteleTravel.com. Travel services are supplied and operated by independent third parties, including airlines, cruise lines, hotels, tour operators, transportation companies, excursion providers, and insurers. All reservations and payments are subject to availability and to the applicable Supplier’s terms, payment deadlines, cancellation policies, and limitations.

By requesting or authorizing a booking, submitting payment authorization, paying a deposit or balance, or using booked travel services after receiving our Master Client Travel Services Agreement, you agree to that Agreement and the applicable Supplier terms. Prices are not guaranteed until confirmed by the Supplier. Travel protection is optional but strongly recommended. Coverage is determined solely by the issued policy or plan documents.

B. Quote and Invoice Acceptance Statement

By approving this quote, authorizing payment, or paying any deposit or balance, I confirm that I reviewed the traveler names, dates, destinations, airports, accommodations, occupancy, and other reservation details. I accept the Travel Boutique VIP Master Client Travel Services Agreement and all applicable Supplier terms, including payment and cancellation policies. ☐ I have reviewed and accept the Travel Boutique VIP Terms and Conditions and the applicable travel Supplier’s terms. I authorize the disclosed payment and understand the applicable cancellation policy.

D. Payment Authorization Note

Payment will be processed by InteleTravel or the applicable travel Supplier, not held by Travel Boutique VIP. The cardholder authorizes the disclosed charge for the identified reservation. The cardholder understands that cancellation and refund eligibility are determined by the Supplier’s terms and that properly authorized charges remain subject to those terms.

Part III. Travel Protection Acknowledgement

Travel protection is optional but strongly recommended. It may help with certain covered losses, subject to the exact plan purchased. Benefits, limits, exclusions, pre-existing-condition provisions, purchase deadlines, and claim requirements vary. The policy or plan documents control. Travel Boutique VIP does not determine coverage or claims and does not evaluate the adequacy of a traveler’s existing insurance.
